How to Get Your Wrike Free Trial

Founded in 2006 by Andrew Filev, Wrike is a software application platform for privately-held project management. It is based in Mountain View, California. Considered as the perfect tool for individual users and small businesses, it enables them to manage and track workflow processes such as schedules, projects, tasks, and deadlines.

This approach has a lot of advantages. Let’s name the most common of them.

Savings for the employee

Having the web team, the employer can save on office rent, computers and other equipment. And most importantly there is no expenses on coffee, which is known to be absorbed by the office workers by the ton.

Rich selection of specialists

When using the classical work scheme the employer’s opportunities are limited with the experts who live in one city. However when one builds the web team using the freelance services and other resources it is possible to find some talented, creative or even genius people in in far-off lands.

Of course, such scheme works great for employees also. Instead of working in low-paid job in the hometown, one may find a more worthy use of his creative abilities.

The cons of being a remote team

So there are a lot of advantages. But there are problems also. And this is the main of them: how to ensure the coordinated work of all remote employees and make them to receive the appropriate information quickly and to communicate with each other constantly while working on the project? Maybe the easiest way (which, by the way, is enjoyed by the most companies) is the good old email. Someone creates the mailing list, and all discussions are held within it. Well, this proven method is quite good, and despite its simplicity (or rather because of it), is quite effective. But there are more convenient methods, that are possible due to the specialized software. Wrike.com is the great example.

What is Wrike?

Founded in 2006, Wrike is multilingual online tool for the project management. Its main focus is on user’s collaboration and tracking the complex projects. Wrike makes it easy to track small and big projects, manage deadlines, schedules, staff time, and more. After the registration, the user can see the dashboard divided into two screens. There is a tasks tree on the left side, and the description of the current task on the right. It is possible to group the tasks into projects. So if the task requires more than one action to implement that is the project.
While adding the project the user specifies its name, fills out the description, and adds users that will be involved in it. These users will receive notifications about the new tasks, about the status change of the current ones etc. They also can participate in the discussion of the tasks included in this project. It is also possible to attach the files that can be used by the contractors while working on this project. The files attached to the task can be edited directly in the service interface. Wrike saves the version history, so that any previous version of the file can be viewed here.
Of course, in order to use this system the user must be registered in it. The Wrike.com developers found wise solution, and the process of adding the new contractor to the project is incredibly simple. There is the ‘Assign to’ window where the project manager just enters the email address of any user, whether registered it in the Wrike or not. If this user is already registered, he just gets email notification about the new task or project for him. But if he is not registered, the service automatically registers it and sends the account information by email. Thus, the user does not bother with unnecessary actions and immediately starts to work.

Basic Wrike features

The basic use of Wrike.com for the small teams is free. Each user gets 15 GB for the storing of files related to the projects. It is possible to create and manage the tasks, to invite the collaborators, and to hold the discussions with them. Wrike Editorial Review The system offers three basic views — overview of events, topic folders and reports. The main job is done on the folders tab. The folder structure is created at the user's discretion. It is possible to divide them by projects, by contractors, by topics, by processes etc. Note that the subfolders could also be created. And the tasks can belong to multiple folders at the same time.  When creating tasks, one can not only add the responsible people and set the deadlines, but choose the priority, to create the subtasks.
From the other hand, the functionality of the free account is limited. For example, there are no time-tracking and analytics. Despite these limitations, the free Wrike.com functionality is quite sufficient for the small teams who do not require any special frills.

Advanced Wrike features

For the businesses who are working on the complex tasks with more than five people involved, there are paid plans with extended functionality. There are some great features that are offered for the paid users.

The filters

The filters are very handy tool which can help to put a particular slice of task at a glance. For example you can see only the tasks, executed by a specific user, or incomplete tasks, or the ones that were assigned during the last month. There are also some filters that can help to see the tasks by the last modified date, completion date, task author, creation date, start date, due date, and task type. There is an Activity Stream which can help to track task updates. Using the filters and the Activity Stream one can choose what tasks and projects have to be tracked and what updates are really important. Wrike

Email integration

Actually it is not necessary to visit the Wrike website to work on tasks and projects. Tasks can be added via email by sending the message to wrike@wrike.com. Those users who will collaborate on this task should be also specified in the TO field. It is also possible to add the users who will have the right to manage the task. The SUBJECT field should contain the task title, but it also can be used for adding some additional info to the project. Using the brackets it is possible to specify the status of the task, its start and/or due dates, and the folder/subfolder where a task should be created. The body of the message is used for the task description. If the sender will attach some files to this letter they will be added to the task.
After the email is sent, the service will create the task and send out the notifications to the participating users. By the way, if the task was added to the non-existent project, then Wrike will create it automatically.

Gantt Chart view

The favorite feature of many premium Wrike customers is the Gantt Chart, which is called the Timeline here. It allows planning complex projects as well as strategic long-term tasks. Gantt Chart is effective when the usual tasks lists don't work. Such view makes it possible to monitor the employees’ overload, to redistribute the efforts properly. It’s very convenient that the task dependencies can be viewed. It helps to see the critical long paths and promptly understand what here is the lack of resources.
This view has full drag-and-drop support. Using the hotkey Shift+ScrollUp timeline can be easily scaled from 6 hours to 5 days. Just drag the mouse across the time slot to shift the task terms. Links between tasks are very handy, so if the task due dates were moved this will influence all related tasks. Wrike Review Tasks are written under their time periods. The service automatically takes weekends into account and, if the due date of the task falls on a weekend, informs the user about this. There are filters that help to display the tasks by status and by the contractor.
If you need to edit the task on the timeline, it opens in a popup window, and there is no need to go back to the chart. The additional selection of the entire project on the top of all task pieces is also very handy. And if there’s need to share the timeline with user who doesn't have Wrike account it is possible with the Timeline Snapshot feature.

Wrike is a simple yet powerful system for managing tasks and projects. It helps to keep tasks in one place and always be in touch with the team and clients. This system has become the everyday tool for many small and big companies (PayPal, HTC and Hootsuite are among them) and had already proved its efficiency.

    I think as a beginner who needed a quick easy to assemble software that this would a good start. But since using the software, I have used other integrated platforms who have pretty much the same features along with many other features that simplified the process even more. Again, not a terrible solution to managing projects and files. For me, it didn't flow enough. It seemed like you had to have more manual follow up legwork that other systems I have used or that I am currently using. I personally wouldn't dissuade people from trying out the system, but it is not my first choice that I would offer them as a project management solution.

    Pros :

    • As far as project management tools online go online, it is cheap. If that is your motivation then, by all means, go for it.
    • It is fairly easy to get up and running with the program and or to get additional team members moving forward with the projects without having a ton of technical basic skills already.
    • I think it took me a day to get used to the system, I do have basic tech skills, but I am not a hardcore developer either.


    Cons :

    • I think more integrations on a lower level other than cloud storage would be a better option.
    • I have worked with many other tools that have more features that prevent limiting users to Salesforce (not that it is a terrible tool). But the thing is that many of the CRM systems have self-integrated project manager tools and have additional integrations for project management so to start with Wrike and being married to it in a way would prevent moving through online software systems and platforms which may be better for your business.
    • It also seems that the file limits are kind of low, especially when a lot of cloud storage systems and other CRM and Project Integrated systems seem to have a lot more space.

    For what our business does, this has been an extremely effective tool for collaboration, task assignments and asset filing. Project managers are able to assign tasks to team members -andnbsp; in our case, writers and producers - set due dates, and comment on the tasks, with date and time stamps in real time. Wrike is extremely useful when it comes to high tempo workplaces that require a lot of space and organization to create new tasks and set deadlines/reminders, etc.

    Pros :

    • Highly effective in the organizational department.
    • Asset uploads to Wrike tasks are fairly format friendly.
    • Creates a conversation between who's on the task - comments thread. Great for reviewing or just following along as to what's going on with a particular project.
    • Only those shared with the task/project, see these tasks and receive email notifications as a fail safe so nothing slips through the cracks.
    • Their support staff has always been very responsive and helpful.

    Cons :

    • Wrike likes to update their "look" so sometimes you'll login ready to charge the day and you have to warm up to the new features and look.
    • Seems to be some bugs that are still being worked out which creates the need to hit the "refresh" button in order to have a change take.

    Wrike is awesome with the folders! I really like that a folder can be a project, a department, a team, a group of tasks, etc. so they can adapt to any kind of work structure. Now they have added projects, but I still rely on the folders as my main organization structure. The other feature that I love is the interactive Gantt where you can see multiple projects in parallel, and also move around with small navigator views on the bottom right. The main problems solved when using this app is a complete overview of the tasks to be worked in parallel, I mean the first time I was able to lean back and SEE… all this things going on together, I was amazed. Sometimes you have a lot of things to do yourself and with your team, and this tool lets you distribute all that work, but still keep a global viewpoint. Wrike also offers graphics of completed and open tasks, best performers, communications, prioritization, filters, etc., you can do both... focus or see all stuff that is being done. My humble recommendation is that before even trying this tool, you make the numbers with your accountant and talk with your possible sponsor (if you are not the final decision maker) to validate the trial and onboarding process, then start using this tool with the complete team, and do a "user by user" proof of understanding what they should do, so everybody is clear and can make the best use of the tool. Another great thing that helps me save time is the keyboard shortcuts. You will be very used to ALT+Shift+ any other letter to do things like creating a new task, search, assign a task to yourself, etc.

    Wrike is an excellent project management solution if you are willing to use a paid solution. Although there is a free version, this software really shows its potential in the paid versions. Instead of depending on multiple project management solutions for different functions (collaboration, file sharing, and programming/reporting), Wrike allows you to integrate everything into a single solution, greatly simplifying project management for firms of any size. The only noticeable drawback of this solution is that the free version is very limited, lacking basic project management features such like Gantt charts, time tracking, dashboards, and filters. The pricing even for the most basic professional version is high, starting at $49/month for 5 users. Purchasing Wrike is recommendable if your organization will really exploit its functions to their fullest potential. A great feature of Wrike is that it integrates seamlessly with mass file storage solutions such as Dropbox, Google Drive, and OneDrive. Wrike also includes collaboration tools, e-mail integration and apps for iPhone and Android.

    Pros :

    • A very complete project management solution, which includes everything an organization may need. File storage is limited, but that isn’t an issue because Wrike can integrate with the most common file storage solutions.
    • Intuitive interface, smooth and quick learning curve: Teams will most likely adapt to Wrike very quickly.
    • Being a web-based solution, the time investment and compatibility issues of installing the software are eliminated. This is great for large organizations which may have tens or hundreds of accounts.

    Cons :

    • Wrike offers high-quality project management, but charges accordingly. It is not a cheap solution, so organizations who purchase it must use it to its fullest.
    • The fact that it is web-based is double edged: It provides flexibility, but the Internet connection must be stable and with large bandwidth – Wrike might not be feasible with low bandwidth.
    • The free version is very limited. It can be considered a reduced sample of what Wrike has to offer.

    Businesses from big to small use project management software in order to get their work done. Using a good project management service can be the difference between a smoothly run project or a headache. Even if you are a small volunteer group, project management might be able to help out. So how does Wrike measure up? Wrike, much like other project management services, takes a tiered approach to the service. It offers four services levels: free, professional for up to five users, professional for up to 15 users, and enterprise. While the free level will give you the most basic of tools to manage a project with, you will likely need to shell out the cash for a more comprehensive toolset. Simple tasks like time sheets and Gantt charts are just not included in the free version. The real good news is that if you do pony up for a license, you can more easily control every aspect of the project. Wrike includes everything you would expect to see in a collaborative project management set up. The interface is truly simple to use, and gives you a list of projects you are involved in on the left. Clicking on the project will open up an information window to the right. Messages and other actions also appear in this window. Wrike also includes the option to have a portfolio. In project management speak, that is a project that contains projects. While Wrike doesn’t use the term portfolio (it calls them folders), having the option to manage to this level is a good tool.

    Pros :

    Our design studio has been using Wrike for a few years now. Prior to this we had to do manual scheduling in Excel, and assign tasks via email. I love Wrike's flexibility and the numerous applications catered to every business need.

    Pros :

    • Dynamic Gantt-charts that can be adjusted on the fly.
    • Unlimited folders and ability to customize workflow through tags.
    • Great collaboration tool.

    Cons :

    The Enterprise version has some incredible features, but is more costly than the professional version we use.

    Overall, I love Wrike! Our team uses it consistently and couldn't function without it. I've been here for two years and seen it transform the way we do things.

    Pros :

    • Customer Service.
    • Intuitive.

    Cons :

    • No Undo button!

    Wrike as a task management tool gives a lot of flexibility in creating, updating and managing tasks with such ease in comparison to other tools I have used.

    Pros :

    Simple and ease of use interface with Drag and Drop facility makes it very much an efficient tool to manage day-to-day tasks with almost zero effort. Time tracking is superb!

    Cons :

    At the moment, I have no thoughts about this. However, there are areas that Wrike could improve to make it a far better tool than it is now.

    Wrike has been great for our team and for me personally in tracking my own tasks. We've been able to stay on top of all aspects of our episodic television production schedule and our live event preparation using Wrike.

    Pros :

    I love that it's cross-platform so everyone can use it. I love that I can manage projects on my Mac but also take action on updates pushed to my Android phone. I also like that it integrates with Google Docs and calendar.

    Cons :

    There's a bit of learning curve in some places, but it's easy to use once you have people sufficiently trained.
