With so many scheduling apps available these days, it’s tough to keep up with them all. While there are millions out there and more and more coming out every week, most of us have dozens on our devices we don’t even use. It makes sense, then, that you’d wonder what Trello could possibly have to offer. Well, as this review is about to point out, the answer is: a lot.

We All Have Lists

Let’s start with the basics. It’s tough to really do justice to Trello until you try it, but let’s begin by pointing out that we all use lists and most of us rely on them every day. Obviously, there’s the grocery list we all take with us to the store. If you have kids, you’re carrying around lists for school supplies they need, what they want for birthdays and other holidays and various other things you can’t afford to have slip your mind.

Of course, then there’s work. You probably keep a list of tasks and responsibilities you have to see to, questions you want to bring up at the next meeting, points that have to be made, travel plans, etc.

Alright, so we all keep lists. The question is are you still using pen and paper to do so? Doesn’t it seem strange that so many of us do this in a day and age when over 90% of the population is walking around with a smartphone?

Now, there are a number of reasons more people may not use this handheld miracle for keeping notes. For the most part, it just seems surprisingly inconvenient. You have to tap away at those tiny letters over and over just to make the simplest of sentences. Furthermore, after all that work, you have a list that pretty much looks exactly like it would if you had just written it out.

Enter Trello

If this strikes a note with you, it’s probably hard to imagine that a note-taking app could possibly improve on the way you’re used to doing things. You’re not the only one to think this way either. You also won’t be the only one to see Trello in action and change your mind.

Trello allows you to make as many lists as you please and then lay them out horizontally on your screen. Each of these lists has what the app refers to as a “card.” A card is just an item in the list. It could be a type of produce you want to remember picking up or it might be a step in your project at work.

These cards can also be reorganized with ease. You might decide that the question you were going to bring up in one meeting would make sense in a different one. Just drag and drop it. You might also like keeping a list of completed tasks. Again, just drag and drop the cards you’re done with.

Each card can be more than just a description, though. You can also use them to display checklists, attachments, images, colored labels, deadline dates and even discussion notes.

Discuss Your Lists with Others

Discussion notes? No, we’re not talking about your inner monologue. Another really cool feature of a great project management software like Trello is how it allows you to share your lists with others. You can see how helpful this would be if you’re working on a project with coworkers from around the country. Each of you can now weigh in on various steps involved.

If you’re running around trying to prepare for your child’s birthday party, your spouse can weigh in by letting you know they picked up the ice cream, but are still waiting on confirmation from the magician.

Searchable Sticky Notes

Many of you might be thinking cards sound pretty familiar. They’re basically just virtual sticky notes. You can add to them and move them around as you please. The difference is that you can add to them as much as you like without ever running out of space and multiple people can do so at the same time from all around the world.

The other great thing is that you can search for the information you put down. How many times have you been in a situation where you can’t find that all-important number you wrote down for so-and-so? Now it’s easy! Just search for so-and-so’s name and you’ll have that number you need. Click it and you’re dialing.

Perfect for Those Who Love Visualizing

A lot of us are visual learners, but the vast majority also prefers to at least see how their day is going to look, what needs to get done for a certain goal to get accomplished and when they’ll need to be where throughout the week.

This is really where Trello excels. The color-coding option along with the option to add images makes it so easy to get a bird’s eye view of what your responsibilities look like. Your ability to move them around with such ease is also a welcomed addition for those of us who hate having to juggle priorities in our minds.

Works Across Devices

Another reason to love Trello is that it’s not just for your phone. You can move it to your tablet or computer too. This makes all the difference when it comes to typing out meaningful notes. As we mentioned at the beginning, as far as smartphones have come, it’s still a huge pain trying to type out anything of importance.

Using Trello means you can just go on your computer, with your nice, full-sized keyboard, create whatever note you want with as much detail as it needs and then have it ready and waiting for you on your phone. Anyone you’re collaborating with will appreciate this as well.

Although technology is moving along at an unprecedented pace, it’s hard to imagine humanity will ever ditch its love affair with keeping lists. Thanks to Trello, though, we’ve at least evolved a bit. You can now easily keep all of your lists in one convenient place, send them to others, organize with ease and basically set yourself up for world domination. Oh, and did we mention that all of this is completely free?

Trello is by far one of the best tools out there for anyone looking to create a simple, easy to use, easy to customize project board. Built as a card sorting platform, the simple nature of Trello allows for you to create just about any board for a project that you would like. Whether you're looking to track the progress of a campaign through the different stages of completion (i.e. planned, in progress, ready for review, complete) or create a content ideas board where people can add and claim topics and ideas for their use, Trello gives you the flexibility to create what you want while providing tools to help you organize and manage everything.

Pros :

  • It's free! Almost everything you would want to use Trello for is free with very little major functions being held back for premium or business versions.
  • The customizable nature of the boards is probably the coolest and best part of the tool. When you first look at Trello, it can be hard to see why so many people are so excited about it, but once you start to create your first board and customize it to what you and your project need, you immediately see why it's such a successful application.
  • The sorting/filtering functionality is very nice when you want to view only specific cards on the board based on different factors like owners, due dates, labels or other items.
  • The simplicity of the drag and drop nature of the cards is also a great pro, making the entire application easy to use no matter how tech savvy you may be.

Cons :

  • The due date functionality is lacking a little when it comes to reminding users of due dates.
  • Also, the email notifications can be hard to sort through, especially if you have multiple boards with multiple users and cards.

Great work management software that is customisable and easy to use. The user interface is mostly intuitive, and is attractive.Since we started using Workfront, visibility of project progress has been dramatically improved across our Professional Service teams. I traffic manage the workload of six teams, each with members distributed across the EMEA region and Workfront is the tool that has enabled me to manage this effectively, gradually improving processes, and hence efficiency.Document storage and Centralised communication have helped improve efficiency both within teams and across teams, and post-project reporting has helped refine processes.

Pros :

  • It is extremely easy to use, and the ability to create custom fields and forms enables me to track the metrics that matter to me.
  • We have developed an end-to-end workflow from client request for scoping, to raising SOWs, to project delivery and post-project reporting.
  • Resource grids that enable me to see how much work each team member has on by day, week or month, and how that rolls up to the team level. I have visibility of who is over-allocated, and who has the capacity for extra work, enabling me to re-allocate work to load balance the team. The granular nature of this data is drawn from task level information on duration and effort, and this is vital as many projects are very quick turnaround (3 days), and often assets arrive late, or requested dates change at the last minute, so I need to quickly be able establish what is achievable, and adjust things to ensure both then client and team members are happy. Work front has been the best tool I have used in helping me achieve that.
  • Great customer support.

Cons :

  • Reporting using charts should be improved - I currently export a few complex reports to Excel in order to create the charts that I need.
  • The Resource Grids, while excellent, use Flash rather than native code, and hence can be slow to load.

Ease-of-useThe ease of use for timesheet input for employees was so-so. The ease of use for billing/invoicing was very difficult.FunctionalityIt met our needs for for time tracking. It didn't for invoicing/using overhead rates, etc.Product QualityIf you are in IT, it's probably good. I'm very disappointed in anaconda version not meeting our needs.Customer SupportIt was great when they were charging us an extra fee per year for support. After that, even if we found a bug (and we found a lot), it was very difficult getting answers quickly; it took days of back and forth.Likes BestI like that it's cloud-based.Likes LeastIt's difficult to get set up, but it's geared more for IT/software than for professional service/engineering. They increased our annual renewal rate by 700% and gave us less than 2 week notice to renew. You can't see the budget hours easily when viewing the tasks or logging time. You have to dig to find the information. Reporting is not slick enough for our industry.RecommendationsMake sure you can set up your overhead rates/billing rates as needed.
