  • Smartsheet Use Cases and Deployment ScopeSmartsheet is used across our organization and shared with our clients to track projects and communications.

    Pros : Smartsheet has great pre-defined templates for a variety of tasks from project management with Gantt charts, team task lists, bug tracking, to financials, etc... All templates are easily customized for your specific needs.Smartsheet easily allows for team communication on tasks, attaching external documents and email alerts/updates to the team.Easily allows for moving items / tasks around on a sheet (much easier than Excel).Includes many Excel type functions/formulas.

    Cons : While there are functions/formulas available, they are not always intuitive to create. Would be great if it had a function builder tool similar to Excel to simplify, or allow an excel function to be added. If you need complex formula development, stick with Excel or Google Sheets

  • Smartsheet is very affordable and you can do so many things with it either through their built-in templates or your own custom-made spreadsheets. After reviewing a lot of project manager software programs, I decided on using Smartsheet because it checked off all of the items on my wish list without breaking the bank.

    Pros : Integration with Google Apps accounts, flexibility, report feature, training sessions are very useful, great price, and good customer support.

    Cons : A little bit of learning curve to get used to different way of setting up project management software and the interface isn't the most attractive of competitors (not ugly though).

  • What do you like best?

    End-user development. This is an online spreadsheet, a 21st Century version of Excel on steroids. As a spreadsheet it allows very flexible form & function, the most flexible I've ever seen in an app. I'm also impressed by how well this company executes its vision. It's solid. I've only needed tech support once and I got a reply within 3 hours.

    What do you dislike?

    Nothing really. I wish it had some features it doesn't yet have, such as tighter integration with Gmail, but there's nothing I dislike.

    This system is awesome and a great way to share and collaborate with your coworkers. You can store Docs and attach files from Google Drive, OneDrive, Box, Dropbox, Evernote, and Egnyte. Which is super helpful because then team members from other companies who use other software are still able to upload and share their data and information.

    This system makes it super easy to share important documents and conversations and helps keep them in the context of your team’s project or process with the great security and privacy setting you can adjust on your spreadsheets or documents. Smartsheet helps your team work together more efficiently and stay current on all important communication and records. This is really helpful for HR managers because we need to keep communication flowing and make sure all records and printed and saved so we can look back on them if ever need be.

    This system even lets you centralize and collaborate on all areas of the project. You can Attach files such as documents, PDFs, presentations, graphic files, and more! You can also work on projects while putting in free-form notes and threaded discussions to any row.

    Pros :

    • Smartsheet allowed me to easily set automated alerts to remind me and other coworkers on my team about upcoming tasks and approaching deadlines. So no more worrying if we have remembered all the details and when the deadline is! This was super important to me because it is one less aspect of a project or presentation you have to worry about. I know that the system will remind me when some part is getting close to being due.
    • It can send me notifications through my email when other people make changes to a sheet so there are no surprises. I really thought this was a good feature as well, I do not have to reread everything again, I know where the changes are and I am able to fix or update them without going through the whole project again.
    • Being able to set automated reminders and notifications not only keeps my team on task, it helps us streamline and simplify the work process.
    • Getting things done has never been this easy for our team before! We don't even have to all be in the same room to be working on the project together!

    Cons :

    • I can not even think of any major cons of this system .. the only aspect of this system that I thought was a little confusing was figuring out the access and security of the system. For example, who would receive the deadline notifications or the updates being done by a certain person notifications. I was able to figure out how to just allow me to get those, but at first, everyone was getting them and they were confused and worried about the deadlines!

    Smartsheet is a good tool which can be used for project management, as well as general and advanced spreadsheet-related tasks. It is slightly unusual since it is mainly a full-fledged spreadsheet tool, which can also handle complex project management. In terms of spreadsheet functionality, Smartsheet's feature set is on par with that of Microsoft Excel, which makes it an excellent choice. Smartsheet is first and foremost cloud-based and collaborative. This is excellent for project management, as it means that users can work together and update a project's progress while on the go, simply by accessing Smartsheet from any browser. This also means that team members can be aware of their tasks, deadlines and issues at all times. Similarly, any files related to the project can be accessed on demand, since Smartsheet can store them. Smartsheets is also available on a number of mobile applications, so access is truly simple. These are all advantages of using project management software which is cloud-based. These same files can be shared with specific team members, and hidden from others, essentially respecting a specified chain of command. Sheets also work in the same way, with particular users able/unable to view specific sheets. When working collaboratively, users can chat, comment and track issues together, all in real-time. Gantt charts can also be created with Smartsheet, as well as a calendar view for tasks, enabling users to highlight and analyse deadlines as well milestone statuses.

    While Smartsheet can handle projects very well, it must be noted that it is only suitable for projects which can be represented in this particular format - not all projects can be planned in the form of a spreadsheet. Furthermore, Asana and Microsoft Project generally seem to be more intuitive and specialised for project management, as well as being more cost effective.

    Pros :

    • Powerful collaborative features.
    • Sheets can be shared with specific people only.
    • Cloud-based and accessible by anyone with a browser and internet connection.
    • Can be used to store files related to a project.
    • Smartsheet allows users to create Gantt charts.
    • Accessible through mobile apps.
    • Powerful spreadsheet features on par with Microsoft Excel.
    • A calendar view is present for viewing tasks based on deadlines.
    • Users can collaboratively leave comments, chat and edit content.
    • Can act as a centralised repository containing all information regarding a project.
    • Detailed reporting capabilities.

    Cons :

    • Tools such as Asana and Microsoft Project might be more cost-effective options, with more widespread integration.
    • Smartsheet is best used as project management software – for just simple spreadsheet or checklist capabilities, there are a multitude of free tools available.
    • Asana is more intuitive and might be a better choice for task and project tracking.
    • Creating reports can sometimes be cumbersome and not very straightforward.
    • For project management, spreadsheets might not be a solution for everyone.

    When is comes to spreadsheets that teams are updating and accessing constantly, Smartsheet is the tool! Although is doesn't do some of the in depth features of Excel, it's great for collaboration. When tracking projects and deadlines, SmarthSheet makes it super simple for an entire team to make changes without going through the pains of using methods like those of Sharepoint. The learning curve is simple and the benefits of having easy team collaboration make a huge difference in speeding up productivity.

    Pros :

    • Easy learning curve.
    • Great for collaboration.

    Cons :

    • Not quite as robust as Excel, but gets the job done.
    • More for collaboration, not for pivot charts, etc.

    In today’s Internet-dependent business world, Smartsheet is an excellent tool for project management and team collaboration. Its best feature is real-time collaboration: team members can view spreadsheets simultaneously, update the completion percentage of project tasks, and even color-code rows according to users. It is also possible to add task priorities or flag them for review by the project manager. Furthermore, Smartsheet integrates with Dropbox and Google Drive, which greatly simplifies file sharing. It also integrates with e-mail, allowing task rows to be sent directly from Smartsheet to team member inboxes with a single step. Every single task has a discussion board to add comments or feedback directly on the web interface. When using Smartsheet, you can sign in with your Gmail or Office 365 account. Overall, Smartsheet is very compatible with other popular business solutions.

    Pros :

    • Excellent compatibility – Smartsheet has built-in functions to work with Google Drive, Dropbox, Gmail and other popular solutions.
    • Real-time collaboration – Tasks can be modified, marked with percentage completion, filtered by team member, color coded, etc. Smartsheet is a very flexible solution with respect to task assignment and follow-up.
    • Spreadsheet flexibility – You determine the structure. For example, you can create a spreadsheet for each client, and then add the ongoing projects of each respective client, and finally add the tasks corresponding to each project and assign them to team members.
    • Affordable – The individual version costs $10 per month, allows up to 10 spreadsheets and comes with 3 GB of storage. The team version starts at $15 per user per month, allows more than 150 spreadsheets and has 45 GB of storage.

    Cons :

    • Large spreadsheets with plenty of information and files may have slow load times. Smartsheet is a solution that requires a reliable web connection.
    • Storage space can be quickly used up if the team works with large files, such as those used in architecture or graphic design. However, this could be solved by using an external solution like Dropbox or Google Drive and then sharing the links within Smartsheet.
    • Printout options are somewhat limited. Smartsheet is excellent for collaboration but lacks reporting capabilities.

    Sometimes you really, really don't want to slog through the incredible mass of features that is Microsoft Project, but you really need a solution as accessible as Google Docs to collaborate with team members. Where the former lacks collaboration tools and the latter lacks good project planning features, Smartsheet manages to bridge the gap in an elegant way, providing an accessible interface for project management collaboration and resource scheduling. While not as feature-rich as MS Project or more specialized critical path applications, Smartsheet has all of the tools needed by a PM to create a schedule aligned against known time and resource constraints, and as a distributed Software as a Service solution, it lends itself far better to use by team members in different geographic locations.

    Pros :

    The best parts of Smartsheet are the collaboration tools available – making notes on specific tasks in the project schedule to be shared with the resources assigned to that task, or getting updates automatically in your inbox anytime the schedule is modified. Features like this allow users to set up their project schedules in a way that becomes a more natural part of the task workflow, rather than as a reference point to be ignored until it’s too late. Smartsheet also has a nice publishing feature that allows for the production of client-facing deliverables in a read-only format, which is useful for reporting purposes.

    Cons :

    While they’re intended to make your job easier, the autofill functionality often fails to inspire confidence, to put it lightly. I’m never quite sure what’s going to happen when changing task dates, and while I’m sure there’s great logic behind it somewhere, it’s never explained in an intuitive fashion. A tutorial mode for new users would be a great addition to the project, but for now there’s a lot of upfront trial and error. I’d also like there to be more scripting functionality, which is something lost with a tool like Excel, and greater integration between other project management tools would be useful.
