Great work management software that is customisable and easy to use. The user interface is mostly intuitive, and is attractive.Since we started using Workfront, visibility of project progress has been dramatically improved across our Professional Service teams. I traffic manage the workload of six teams, each with members distributed across the EMEA region and Workfront is the tool that has enabled me to manage this effectively, gradually improving processes, and hence efficiency.Document storage and Centralised communication have helped improve efficiency both within teams and across teams, and post-project reporting has helped refine processes.

Pros :

  • It is extremely easy to use, and the ability to create custom fields and forms enables me to track the metrics that matter to me.
  • We have developed an end-to-end workflow from client request for scoping, to raising SOWs, to project delivery and post-project reporting.
  • Resource grids that enable me to see how much work each team member has on by day, week or month, and how that rolls up to the team level. I have visibility of who is over-allocated, and who has the capacity for extra work, enabling me to re-allocate work to load balance the team. The granular nature of this data is drawn from task level information on duration and effort, and this is vital as many projects are very quick turnaround (3 days), and often assets arrive late, or requested dates change at the last minute, so I need to quickly be able establish what is achievable, and adjust things to ensure both then client and team members are happy. Work front has been the best tool I have used in helping me achieve that.
  • Great customer support.

Cons :

  • Reporting using charts should be improved - I currently export a few complex reports to Excel in order to create the charts that I need.
  • The Resource Grids, while excellent, use Flash rather than native code, and hence can be slow to load.

The fact that QuickBase is customizable is a big selling point on this program. You can conduct almost all of your business utilizing this program. The program offers technical support and promises ease of use. However, in order to keep QuickBase from being too good to be true, the pricing creates a problem for many small and start up businesses that would otherwise be interested in utilizing the program for their business management needs. This set aside, if you have the resources to use QuickBase, it is a great program, easy to learn and easy to customize.

Quickbase does not offer a phone number for customer service and sometimes take days to respond to e-mails. I often seem to know more about the program than the service representative I get - my boss says if I stay on the phone long enough with Quickbase I will figure a way around the problem while they tell me all the reasons something can't be done. I have found you can't respond to the surveys they send honestly if you want any help next time. The rep will scold you about how it negatively impacts their career and will likely not pick your email next time which means you wait that much longer before you get help next time. The reps like to call after office hours so they can show they attempted to respond quickly but you get no real help. The table-to-table relationships are so convoluted you will need a half-dozen fields and a weird relationship table to get information from one table to another, and then it won't arrive the way you want: It may be a drop-down that you have to click on four different fields to get the info from the other table. Ever need a simple number generator (x+1) for invoice numbers, job numbers, etc? Go somewhere else or hire someone to build you one (Excel users will cry). You get the response: we are working on that. Bottom Line: when developing a management program you will have time-sensitive issues that will make you wish for something better.

Ease-of-useThe ease of use for timesheet input for employees was so-so. The ease of use for billing/invoicing was very difficult.FunctionalityIt met our needs for for time tracking. It didn't for invoicing/using overhead rates, etc.Product QualityIf you are in IT, it's probably good. I'm very disappointed in anaconda version not meeting our needs.Customer SupportIt was great when they were charging us an extra fee per year for support. After that, even if we found a bug (and we found a lot), it was very difficult getting answers quickly; it took days of back and forth.Likes BestI like that it's cloud-based.Likes LeastIt's difficult to get set up, but it's geared more for IT/software than for professional service/engineering. They increased our annual renewal rate by 700% and gave us less than 2 week notice to renew. You can't see the budget hours easily when viewing the tasks or logging time. You have to dig to find the information. Reporting is not slick enough for our industry.RecommendationsMake sure you can set up your overhead rates/billing rates as needed.
