About Podio

Podio is a social collaboration software that allows you to work smarter with everyone in one organized project and one single workspace, whether it's a colleague or a customer. Podio is a great way for teams to understand the objectives of each project they're involved in, the responsibilities for each team member, and the deadlines set for the various projects.

Podio is efficient and can save you time and keep everyone informed and up-to-date. Besides, it helps project managers better manage team collaboration and make sure everyone is on the same page by giving them the opportunity to chat and keep conversations in one place, without the hassle of individual email communications.

  • We use the software for internal, and some external, project tracking and collaboration with clients. I also use it to track leads and customers for sales and account management, mainly to track tasks and follow ups. For the project tracking, each customer has their own workspace (something I'm still evaluating) so that client contacts can access their own information. We have built some custom apps to track details about the client and their software deployments, which is a great feature of Podio, and rather unique. We also store client files and documents within Podio so everyone can see them. We also use the mobile app, which is great to track when at a client site or if you don't have a laptop handy. The whole concept of the app marketplace and building your own is pretty well executed. Just starting to use some of the workflows, but so far they are useful.

Pros : Mobile app accessible anywhere app marketplace and app builder tool ability to easily modify apps as needed ability to relate across workspaces external collaboration is great can easily send email to lots of different areas to create a task, status update, etc

Cons : We use Office 365, so a tighter integration with that, similar to what they have with Google apps, would be great. Enhanced workflow would be good

  • Podio is one of my favorite things ever. There, I said it. It is so smart, sosophisticated, so practical, especially for small and medium-sized businesses. I love the fact that you can design it into almost any software tool, from a client manager to a project tracker to a company morale booster. It’s just flat-out practical in that way, especially considering how cheap it is.

  • Podio offers a lot for small businesses, especially those led by someone who has a very clear picture of how the business operates, and has the ability to map that structure into Podio. The tools are all there for building – it's figuring out how to map out your business with them that's hard. Entrepreneurs looking to centralise their workflow and communication into one non-email tool can really thrive with Podio.

What happens when social networking and project management have a love child? Podio. Fitting into a very odd little niche that is perfect for small business, Podio can serve as both a social network business platform and a project management service, if someone can map it out properly. The first thing that stands out about Podio is that it looks more like Facebook than a project management tool. It has all of trappings of a social network platform: email/messaging apps, chat client and news feed type updates. That is only the beginning, however. Podio users can be given relationships to both other people and tasks. This means you can have a relationship with your direct manager as well as all of the projects that you are both working on. Any user has the ability to assign a task to another user or modify existing projects if they need to. This gives Podio users a lot of flexibility in what they can do with the platform. Podio is licensed by the user, carrying a pretty hefty fee if you have a good number of users that you wish to use the service. The charges start after you have five people on your team. There is a business level of pricing, but you will need to contact Podio for the specifics on that. Podio integrates with several applications, including a cloud storage service, but it lacks critical time management tools. It also has no way to archive projects.

    Pros :

    • Unique mix of project management and social networking.
    • Flexible and customizable to your business, custom apps that you should be able to figure out without experienced coders on your team.

    Cons :

    • Lack of time management tools.
    • No way to archive finished project.
    • Limited free accounts.
    • Not really suited to larger businesses.
    • Not a very pretty platform.

We used PODIO before, but configuring it to our needs was a lot of work as we did not know how to get the max benefit out of it. Perhaps if you'd get a one-to-one session with them on the configuration stage, things would go much faster.

Pros : 100% customizable, perhaps to any of your need, a lot of apps available

Cons : Hard to configure it to some "best usage" in your own field. It's doable, but it takes you a lot of time than any out of the box tool that is doing a similar job.
