With so many scheduling apps available these days, it’s tough to keep up with them all. While there are millions out there and more and more coming out every week, most of us have dozens on our devices we don’t even use. It makes sense, then, that you’d wonder what Trello could possibly have to offer. Well, as this review is about to point out, the answer is: a lot.

We All Have Lists

Let’s start with the basics. It’s tough to really do justice to Trello until you try it, but let’s begin by pointing out that we all use lists and most of us rely on them every day. Obviously, there’s the grocery list we all take with us to the store. If you have kids, you’re carrying around lists for school supplies they need, what they want for birthdays and other holidays and various other things you can’t afford to have slip your mind.

Of course, then there’s work. You probably keep a list of tasks and responsibilities you have to see to, questions you want to bring up at the next meeting, points that have to be made, travel plans, etc.

Alright, so we all keep lists. The question is are you still using pen and paper to do so? Doesn’t it seem strange that so many of us do this in a day and age when over 90% of the population is walking around with a smartphone?

Now, there are a number of reasons more people may not use this handheld miracle for keeping notes. For the most part, it just seems surprisingly inconvenient. You have to tap away at those tiny letters over and over just to make the simplest of sentences. Furthermore, after all that work, you have a list that pretty much looks exactly like it would if you had just written it out.

Enter Trello

If this strikes a note with you, it’s probably hard to imagine that a note-taking app could possibly improve on the way you’re used to doing things. You’re not the only one to think this way either. You also won’t be the only one to see Trello in action and change your mind.

Trello allows you to make as many lists as you please and then lay them out horizontally on your screen. Each of these lists has what the app refers to as a “card.” A card is just an item in the list. It could be a type of produce you want to remember picking up or it might be a step in your project at work.

These cards can also be reorganized with ease. You might decide that the question you were going to bring up in one meeting would make sense in a different one. Just drag and drop it. You might also like keeping a list of completed tasks. Again, just drag and drop the cards you’re done with.

Each card can be more than just a description, though. You can also use them to display checklists, attachments, images, colored labels, deadline dates and even discussion notes.

Discuss Your Lists with Others

Discussion notes? No, we’re not talking about your inner monologue. Another really cool feature of a great project management software like Trello is how it allows you to share your lists with others. You can see how helpful this would be if you’re working on a project with coworkers from around the country. Each of you can now weigh in on various steps involved.

If you’re running around trying to prepare for your child’s birthday party, your spouse can weigh in by letting you know they picked up the ice cream, but are still waiting on confirmation from the magician.

Searchable Sticky Notes

Many of you might be thinking cards sound pretty familiar. They’re basically just virtual sticky notes. You can add to them and move them around as you please. The difference is that you can add to them as much as you like without ever running out of space and multiple people can do so at the same time from all around the world.

The other great thing is that you can search for the information you put down. How many times have you been in a situation where you can’t find that all-important number you wrote down for so-and-so? Now it’s easy! Just search for so-and-so’s name and you’ll have that number you need. Click it and you’re dialing.

Perfect for Those Who Love Visualizing

A lot of us are visual learners, but the vast majority also prefers to at least see how their day is going to look, what needs to get done for a certain goal to get accomplished and when they’ll need to be where throughout the week.

This is really where Trello excels. The color-coding option along with the option to add images makes it so easy to get a bird’s eye view of what your responsibilities look like. Your ability to move them around with such ease is also a welcomed addition for those of us who hate having to juggle priorities in our minds.

Works Across Devices

Another reason to love Trello is that it’s not just for your phone. You can move it to your tablet or computer too. This makes all the difference when it comes to typing out meaningful notes. As we mentioned at the beginning, as far as smartphones have come, it’s still a huge pain trying to type out anything of importance.

Using Trello means you can just go on your computer, with your nice, full-sized keyboard, create whatever note you want with as much detail as it needs and then have it ready and waiting for you on your phone. Anyone you’re collaborating with will appreciate this as well.

Although technology is moving along at an unprecedented pace, it’s hard to imagine humanity will ever ditch its love affair with keeping lists. Thanks to Trello, though, we’ve at least evolved a bit. You can now easily keep all of your lists in one convenient place, send them to others, organize with ease and basically set yourself up for world domination. Oh, and did we mention that all of this is completely free?

Mavenlink is a great project management tool. I've used over 5 project management tools and Mavenlink was one of the most intuitive platforms. It took me a few days to fully understand how to use all of the features, however after diving into the platform, it was extremely easy to use. The team and clients were pleased with the communication and the way deliverables were submitted within the platform. I have successfully managed and completed over 50 projects within Mavenlink.

Pros :

  • Mavenlink makes it easy to duplicate project templates and has a great way of organizing tasks and milestones within a specific client project. It's possible to assign a task to multiple users and to specify the amount of time per task.
  • The budget tracker provides a great overview of the amount spent per project for easy analyzing at the end of the week/month.
  • As a project manager, it was great to have the team upload all files within each task and to be notified of each item for me to go in and approve.
  • It was easy to grant specific permissions to different users, which is particularly important when working with several contractors.
  • Within discussions, it is possible to mention users and loop them into the conversation.
  • If I ever ran into a problem on the platform, there was always someone on the chat pane to answer my questions.
  • My colleague left several feature recommendations, and they were actually implemented a few months later.

Cons :

  • Oftentimes the platform would take a long time to load and would freeze while expanding or minimizing tasks.
  • Also, when additional text was added under a task description, users wouldn't be notified of changes to the description. It wasn't possible to see who revised a task or at what time the change occurred.
  • The platform was also slow when making changes on a task or milestone level.

When you first see the Liquid Planner interface, it can be overwhelming. There are so many options, and each feature has its own little icon (similar to Microsoft Word), and so it takes some time to wrap your head around. But, once you take some time to go into the features and start creating projects and tasks, it starts to sink in how unexpectedly user-friendly it can be.

Pros :

  • LiquidPlanner is extremely feature-heavy. You get out of it what you put into it. If you have a massive team of Account Managers, Digital Marketers, Content Creators, Developers, and Project Managers (as many companies that need project management solutions do), they all can use Liquid Planner for their part of the project.
  • The folder/file structure that we're all used to thanks to Microsoft makes it easy for anyone to grasp the basic concept of Liquid Planner.
  • For more advanced project managers, you can easily utilize the Scrum methodology with the different available project management views.
  • Assigning projects and tasks are very easy. So is setting due dates projects/tasks.
  • The ability to add comments to individual projects/tasks makes quick collaboration and feedback easier than it would otherwise be with email, phone calls, or unnecessary face-to-face meetings.
  • Being able just to drag and drop content/files into tasks is an understated feature of the tool that sped up my day-to-day significantly.

Cons :

  • It can be overwhelming. Especially if you have 30 people working in a single instance of Liquid Planner, it could look like a mess.
  • It's not one of those solutions that so easy to use that anyone can go in and figure it out. You will need to train people to use it (it won't take long, but training is a must). Otherwise, it's so easy for a novice to accidentally delete tasks, projects, or even users.

Trello is by far one of the best tools out there for anyone looking to create a simple, easy to use, easy to customize project board. Built as a card sorting platform, the simple nature of Trello allows for you to create just about any board for a project that you would like. Whether you're looking to track the progress of a campaign through the different stages of completion (i.e. planned, in progress, ready for review, complete) or create a content ideas board where people can add and claim topics and ideas for their use, Trello gives you the flexibility to create what you want while providing tools to help you organize and manage everything.

Pros :

  • It's free! Almost everything you would want to use Trello for is free with very little major functions being held back for premium or business versions.
  • The customizable nature of the boards is probably the coolest and best part of the tool. When you first look at Trello, it can be hard to see why so many people are so excited about it, but once you start to create your first board and customize it to what you and your project need, you immediately see why it's such a successful application.
  • The sorting/filtering functionality is very nice when you want to view only specific cards on the board based on different factors like owners, due dates, labels or other items.
  • The simplicity of the drag and drop nature of the cards is also a great pro, making the entire application easy to use no matter how tech savvy you may be.

Cons :

  • The due date functionality is lacking a little when it comes to reminding users of due dates.
  • Also, the email notifications can be hard to sort through, especially if you have multiple boards with multiple users and cards.

Mavenlink is an impressive application and very similar to Smartsheet, with a very short learning curve its an extremely powerful project management tool for business users. Its existing set of features are worthy of a trial for new users or even for those who are looking for an efficient project or task management solution.

I think Zoho Projects is an extremely powerful tool for managing projects. The wide range of useful and applicable tools it offers its users are both powerful but at the same time extremely simple to use and navigate. I believe that this web application would be useful for small businesses and project teams. Whether it can handle extremely large project teams is another issue but I think it could quite possibly do the job. Just like all the other applications Zoho offers, this tool has exceeded my expectations and I will quite happily use it in the future. This tool is a prime example of an Enterprise 2.0 tool because of the intergration of many web 2.0 features such as: status updates, RSS feeds, wikis, and so on.

We used Mavenlink for a few months. We didn't like it. We were conned into thinking there was a feature but there wasn't. This caused problems for our Company. We were never given an apology or a refund.

Liquid Planner isn't like other project management software: it's much, much harder to use and has more features than anything I have ever seen out there. This comes at a price—usability is a huge issue with Liquid Planner. Learning it is hard. Using it is hard. Sticking with it is possibly even harder. Online project management became so popular because it was easy. Liquid Planner, on the other hand, wins first place in the category "hardly usable". If you need extra features in terms of project estimates, and want to use it to bill people and kep all of your company's workload under control, then yes, it does make sense.

Zohoprojects looks good at first however there are some small bugs. More importantly there are MAJOR issues once everything is set up. Unfortunately we had to leave zohoprojects for privacy reasons. Within the project management system as it is currently developed every user can see every comment and task for every other user in the project. We contacted zoho and there is no way of changing this. Our setup currently is we have employees, contractors, managers and clients. As far as zoho is concerned though all of the above make no difference as zohoprojects lets every user even the contractors see EVERY detail of every conversation and tasks between managers and clients. Eventhough there are priviledge roles to prevent users from editing other users tasks they can still view EVERYTHING. Every login or message left, every detail, task, invoice etc generated for every other user. Therefore two completely independent contractors for example could view absolutely everything that is going on with eachother. Absolutely ludicrous. This is certainly a fundamental and very basic requirement which any project manager would expect out of the box. Zohoprojects however seems not to care about it. We contacted them many times about this issue to find a workaround however there is none. We got a nice apology from India but unfortunately that is not enough. This lack of functionality can not be omitted. It is essential. All it needs is a tick box within each project titled "Tick for Assigned users to be able to view tasks and milestones only" In summary: If you are intending to use zohoprojects to manage one or more contractors and employees for your business then DON´?¢T. You could do more damage to your business through this lack of privacy functionality than good if you do. As every project user can see EVERYTHING that everyone else is doing including any login or sensitive information that is posted. There is no way of making any message or task private. Also ALL client information can be viewed by EVERY user also. Zoho does have a solution to client information being visible to all the users which is to set up one project for clients and one for workers. Surely that negates the complete purpose of the system in the first place? All I can say is "It´?¢s a shame". Unless they fix it soon they will certainly lose huge amounts of customers and revenue just the same as they have now lost ours.
