In the industry of project management and productivity tools, there are a huge amount of apps and services which all claim to do the same thing. While Asana is more oriented towards project management, it can also be used for productivity management too. It is a cloud-based web application which allows users to add tasks and assign them to team members, essentially managing a team and project. Out of all the software which I have tried in this area, Asana is truly one of the best. First of all, unlike other cloud-based web applications which usually limit the functionality of their free versions, most of Asana's main features are available within the free version. The main limitation is in the amount of users, which is quite a generous amount. In fact, the free version does not impose a limit on the amount of tasks which can be added, unlike other productivity software. This makes Asana perfect for small companies or teams. On the same point, Asana has decent integration with Harvest, so that tasks are automatically timed and added to the respective user's Harvest account. This is also ideal for freelancers, since the amount of hours can be automatically included in Harvest invoices. In terms of functionality, it is very quick and easy to add a new task and assign to a team member, which allows users to spend more time focusing on project management, rather than the tool itself. It is also possible to upload attachments of various media types to a project, similar to how Evernote handles media within notes. Users have access to a dashboard which uses charts and visual aids to indicate the progress of certain tasks and projects. This is excellent for measuring productivity of different team members and provides valuable information for project management. Furthermore, when assigning a task to a team member, it is possible to specify a deadline and track their progress.While Asana has a huge amount of features, users must dedicate some time to getting used to its layout and functionality. It does not have a steep learning curve, however it takes time to understand which features are required and how to use them. Another disadvantage of Asana is that users must have internet access to manipulate and view tasks and projects, since Asana is a web-based service.
The main advice I would give any organization considering a project management platform is to make sure it will be adopted from the top down. Our company has struggled to maintain the excitement and momentum we had when first implementing because many of our leaders are not using it, therefore causing employees to slack off and move away from using the system. We have been using Redbooth for about a year in our Corporate Support Center. Our Marketing Department mainly uses it to manage creative requests from our nationally dispersed Client Support and Business Development teams. (We were previously using email/sticky notes). Redbooth has been a life-changing tool for our graphic designer. She is able to attach designed documents directly in Redbooth, get feedback, make adjustments, and resend — all without having to access email. In addition, our Client Managers can submit a request (and research the status of their requests) from anywhere. The interface itself is very intuitive. And, similar to Trello, the individual tasks can be very simple (name, owner, due date), or they can get really complex (description, attached documentation, etc.). Where it differs from Trello is that users have the ability to see their own tasks aggregated on the dashboard, rather than having to move project to project to see each one’s associated tasks. Perhaps our favorite feature is the video calling / screen sharing. We have GoToMeeting and use it frequently for meetings with clients, but we have switched many internal meetings over to Redbooth. In addition, for one-on-ones with remote team members, we are able to have a “face to face” meeting over the Internet! Redbooth also offers an iPhone app, but from my experience it is lacking. The app constantly needs “refreshed” to see the most up-to-date tasks, meaning it is not truly real-time.

The fact that QuickBase is customizable is a big selling point on this program. You can conduct almost all of your business utilizing this program. The program offers technical support and promises ease of use. However, in order to keep QuickBase from being too good to be true, the pricing creates a problem for many small and start up businesses that would otherwise be interested in utilizing the program for their business management needs. This set aside, if you have the resources to use QuickBase, it is a great program, easy to learn and easy to customize.More about QuickBase

Quickbase does not offer a phone number for customer service and sometimes take days to respond to e-mails. I often seem to know more about the program than the service representative I get - my boss says if I stay on the phone long enough with Quickbase I will figure a way around the problem while they tell me all the reasons something can't be done. I have found you can't respond to the surveys they send honestly if you want any help next time. The rep will scold you about how it negatively impacts their career and will likely not pick your email next time which means you wait that much longer before you get help next time. The reps like to call after office hours so they can show they attempted to respond quickly but you get no real help. The table-to-table relationships are so convoluted you will need a half-dozen fields and a weird relationship table to get information from one table to another, and then it won't arrive the way you want: It may be a drop-down that you have to click on four different fields to get the info from the other table. Ever need a simple number generator (x+1) for invoice numbers, job numbers, etc? Go somewhere else or hire someone to build you one (Excel users will cry). You get the response: we are working on that. Bottom Line: when developing a management program you will have time-sensitive issues that will make you wish for something better.More about QuickBase
