  • UltiPro Use Cases and Deployment ScopeThe product is used for payroll processing in the US and Canada. Back office is for all of your imports and exports. The web is for payroll processing, Employee self service and UTA. Fujitsu has 17 component companies with three of them not using UTA. The only issues I see is at 5 pm central the web product slows down. Hard to process payroll with the issue. In speaking to other customers at Connections 2014, this was a complaint as well.

    Pros : Handles Multi-state taxationPayroll process is simplerUTA needs to be more flexible. Looking forward to the upgrade.W2 process is simple

    Cons : SaaS needs to be faster.More communication when service is interrupted.The web needs to have the same functionality as back office.Updates should be beta tested by customers first. There has been instances it changes integration.

    UltiPro allows organizations to have a single login to manage: payroll, benefits, training, performance management, as well as internal recruitment. Manage numerous HR functions from a single dashboard, helping to ensure all facets of the HR offerings are catered top. Managers and Employees both have access which helps to ensure organizations can spend more time on managing their people as opposed to managing paperwork.

    Pros :

    • Have real-time reports which help to support HR practices and processes.
    • Able to effectively track HR metrics effectively
    • Ability to focus more energy on managing employees as opposed to managing paperwork.
    • Helps to be more compliant as an organization.
    • One-stop-shopping for managing all functions of the HR team.
    • Performance Management.
    • Simple tracking including (but not limited to): milestones, time management, financials, etc.
    • Easy to navigate UI for end-users.
    • Quickly and easily book and manage vacation days, sick days, etc.
    • Easy to manage approval process for managers with their employees.
    • Rather self-explanatory solution that doesn't require much understanding or training for end-users to effectively utilize the system.

    Cons :

    • A little bit of a sour taste in my mouth following our relationship with UltiPro simply because we suffered a huge payroll issue that affected our entire Canadian office (100 people). In essence, payroll was not properly conducted (not entirely sure if the issue was internal or from UltiPro’s end, so I’ll give them the benefit of the doubt).andnbsp; Long story, short, lawyers got involved, and all Canadian employees were hit with large amounts of taxes being due as they were not properly deducted over the course of the year.
    • All things considered, a beneficial tool for HR teams looking to fast-track or augment their process and managing their workforce. There are some wrinkles, sure, like most software solutions out there.

    My overall impression about this system is that it can be used for any manager, HR rep or even the CEO! That is why I like this system, there is something for every employee. It includes HR systems, payroll, benefits, attendance, scheduling and even open enrollment! The open enrollment piece is one of the main reasons we decided to move forward with this system! We needed a better way to organize our open enrollment process, and this system did the trick!

    Pros :

    • The reason I love this system from the HR aspect of it is the employee record keeping. We used to have all of our employee files in my office is huge cases.
    • We were able to transition to the Ultipro system, and now I can track all private information such as address, phone number, home, etc., any employment history information for employment verification's, benefits information if employees are wondering what type of coverage they signed up for and track performance reviews due as well.
    • Another aspect of this system that I liked when I was looking into different HR systems is Ultipro can handle payroll in the United States and Canada
    • We are located in the United States right now, but I would love to branch out to different countries as well, and I think Canada would be a great start.

    Cons :

    • The most difficult aspect of this system to implement was the kiosk-based access for hourly employees to be able to access payroll information on the touchscreen.
    • We had a similar system in the past, but trying to teach all hourly employees how to use the new kiosk was a major challenge.
    • We tried to have different times for employees to come in and watch the demonstration of either me going through the different features or another manager helping out as well.
    • It took many months for all employees to figure out the new system especially with on-call and temporary employees who do not work as much. But that is the price you pay when you which to another system, overall it ended up working fine.andnbsp;

    I used UltiPro HRIS application for 5 years. I experienced the implementation and began to manage the application for my organization. I feel that UltiPro was designed to give the user an "all-inclusive” experience. This product is user-friendly compared to other software for HR and Payroll needs.We used the cloud-based application which is administered by Ultimate Software. There is an Enterprise version that allows you to administer the back end of the software but it requires well-skilled staff, and I believe it has a hefty cost. UltiPro offers modules for Recruiting, Payroll, Application Administration, Reporting, Performance Management and others. I felt that UltiPro beats other software because it does provide a designated account manager that handles high-level issues and your overall account. The account manager served as a central point of contact and also escalated issues that required a specialist. I recommend scheduling weekly or monthly meetings with the account manager to keep projects and tasks on track. This worked very well and minimized issues.

    UltiPro is a product for a company that has goals of being paperless. There are paperless processes such as job changes, salary increases and even simple ones such as address changes. I recommend that you implement paperless processes off the bat. If you do no it makes it much more difficult for managers and staff to adapt to the application.
    The time and attendance feature can be confusing to users and seemed to be outdated. Reporting is user-friendly within the time and attendance module. PTO can also be a challenge with resetting dates that can wipe out time. I would recommend asking for a complete list of field definitions to better understand the content that should be entered.There is a home page feature that allows you to add pictures and messages for employees to view. This page is fully customize-able and was very useful to upload information such as instructions or company memos.

    Pros :

    • Having a Payroll Critical contact and one account manager was great.
    • It is very helpful to have a contact to escalate issues and unresolved service tickets to.
    • Very user-friendly look and feel of the application.

    Cons :

    • If implementation and workflows are not established from the start, it is very difficult to use the product.
