Todoist Review by Cloudswave

Do you have a number of half-completed projects that you've been meaning to finish? Does your team at work have trouble getting through tasks? Organization can be difficult, but it can be much easier when you have a little bit of help with some organization software.
Todoist has been working toward helping people, teams, and businesses that want to get organized and reach their goals. They have solutions for individuals, small teams and agencies, and even an enterprise level service for much larger companies.
Without proper organization, it is easy for anyone to fall apart. It doesn't matter if it is a large company, a group of friends collaborating on a project, or an individual. In order to be successful, it is important to take steps to make completing the projects that you start as easy as possible. Todoist, which is available on any device you might be using, could be a good way to accomplish this.

What Types of Features Are Available With Todoist?

One of the things that help to separate Todoist from many of the other task management software on the market is the number of features it offers. Users are able to create projects, and then create tasks for each of those projects, so you can see exactly what needs to be done at any given point. This also makes it easier to know if you or the project is falling behind.
The application allows users to create subtasks, which can help make it far easier to complete larger tasks, as well as subprojects. You will have the option to share and collaborate with others on the team, delegate tasks, and communicate with one another regardless of the device or platform you might be using.
You can receive notifications whenever there are changes made to the projects and tasks. These can come through push notifications or emails depending on which you prefer. Add intuitive due dates, create recurring due dates, and color code the tasks and projects based on level or priority.
The system will sync your data in real time across all of the devices and platforms that you and others working on the project are using. This means that everyone will always be working off the latest information. You will not have to worry that someone on the team might not have an updated schedule and could be working on a pointless task. Track productivity, get reminders, add comments, attach photos, PDFs, and more. You can even add filters and labels to help make organization even easier.
How can you be sure that the data is secure? Since you might be working with people who are not directly in the office on the same project, this could be a concern. Fortunately, Todoist is able to protect your business data by providing hourly backups, as well as SSL encryption, and secure data centers. One of the other benefits is that they have 99.99% uptime. This essentially means that you will not have to worry about being unable to work on your projects and tasks because the servers are down.
Collaboration is easy with the tool as well. While you might only need to work on some of your own private projects, others may need to work on shared projects. You can assign people to different tasks, set the priority levels of the tasks and add due dates. It is also possible for you to upload files and discuss everything in real time. This is far more convenient than sending an email and waiting for a response.
Todoist is full of tools and features that you can use to help making tracking and completing projects much easier. However, you should not feel you need to understand how to use all the tools right away, and you don't have to use all of the tools for every one of your projects. When you start working with the system, you will want to get an understanding of what each of the tools does so you know whether you should be using it in your particular project.

What Plans Are Available for Todoist?

Three different plans are available for this service - Free, Premium, and Business. The Free plan allows users to create projects and tasks for those projects. They are limited to five users per project. This plan also offers email support seven days a week. While there are a limited number of features, it could still be a good plan to get an understanding of how it works, and it might be all that some people need.
The Free option allows for three subprojects and four subtasks. Browser plugins are available for Chrome and Firefox, mobile apps are available for iPhone and Android, and mail client plugins are available for Outlook and Thunderbird. It is available for Windows and Mac, as well as iPad and Android tablets. You can have up to 150 active tasks per project and 80 total active projects. It features four levels of task priorities, recurring dates, and 12 colors for your color coded projects. It also has an SSL secured connection.
The Premium version, which is currently $29 per year, has all of the same features as the free option. It also allows you to work on 200 tasks per project, and to have 200 active projects. You can utilize the task search feature, labels, and will have 22 colors to color code the projects. In addition, you will have 13 colors for color coded labels. Create task notes, upload files, and get task reminders. Other features with this version include location reminders, adding tasks via email, productivity tracking, calendar synchronization, project templates, and automatic backups. It is possible to have up to 25 users per project.
For larger companies who will have a greater number of people working on a project, the Business plan, which is currently $29 per user per year or $3 per user per month, offers the same great features as the other plans. However, it has some additional benefits that will be helpful for businesses. They are able to have up to 50 users per project. They will also have access to track logins, centralized team building, and they can add and remove users in just seconds. They will also have priority support.
If you are an individual who wants to get organized, your best option is likely the free version. You can still take care of a large number of projects and tasks, and it is probably all you will need. Since it is free, it is well worth trying to determine whether you like it or not. In addition, if you find that you need more features and options later, it can scale along with you. You can upgrade as needed.

How Can You Use It?

When you first start looking at Todoist, you could be forgiven for thinking that it is only a system useful for businesses, but that it certainly not the case. No matter what area of life you might want or need to organize and plan, it can help. People have used it to help plan their weddings, manage youth sports teams, set writing goals, research, and much more.
Whether you are working on a school project, trying to organize your freelance tasks, or want to get organized for moving this software could be a huge help. People are using it for a wide range of different tasks, and you will likely find quite a few uses for it too. Think outside of the box about all of the projects you have through the year, large and small. Whether it is organizing a bake sale, putting together a marketing plan, or developing a videogame, this tool could help immensely.

Should You Try Todoist?

If you've been trying to get more organized, working with Todoist can be a huge benefit. It has a clean interface, it is simple to use, and it has very helpful features that will make it easy to break down even the largest project into bite sized chunks.
Of course, as with many applications and pieces of software, you have to be aware that this will not actually do all the work for you. You, and potentially others on your team, still need to take the time to input the correct information and to update it as needed. This tool will help to keep you on track, and it will show you when you are falling behind and when you are making gains. However, it is dependent on what you put into it.
Overall, this is one of the simplest to use organizational tools available, and it also happens to be very cost effective when compared with some of the other options. The ease of use, robust features, and the reputation that the company has developed over the last several years help to make it a cut above the others. It is a quality tool that is certainly worth trying.

  • Overall, Todoist is a close-to-perfect product if you want to manage tasks across a wide range of platforms, especially if you want to share them. Whether you’re a family wanting to share tasks or a business team wanting to be able to delegate, Todoist is a really good product.

  • There are so many other features that Todoist offers (and even more for premium users); I’ve only just scratched the surface. If you like navigating by keyboard, you’ll really appreciate their productivity-boosting keyboard shortcuts. You can use labels to organize your tasks even further or to quickly sort them.

Then there is “Todoist Karma,” which is a visual tracking system that monitors your task management activities and displays your productivity trends. If you want to see how well you’re progressing throughout the week, or want to challenge yourself to do better, this feature will really come in handy.

  • What do you like best?

The biggest challenge for software development is creating a product that is both easy to use as well as sophisticated and flexible. Todoist has done this. Its clean, simple interface is pleasing to the eye and intuitive to use. It's also packed with useful features including organizing tasks in projects as well as subtasks, adding tags, creating custom filters, repeating tasks, and more. There are many small features that are incredibly useful, like the ability to include links within the task description itself (such as a link to an email, website, or google doc).

The mobile app is consistent and in sync with the web version and very easy to use. Incredibly responsive customer service.

    What do you dislike?

There is nothing I dislike or feel that is missing.

Todoist is a very solid piece of task completion software with all the major features. It has a slick interface and is a good tool for anyone who wants a more complex task completion software with a variety of features. andnbsp; The ideal Use Case I see is for someone with a complex list of chores, many deadlines and many categories of work. Todoist enables the user to set reminders for themselves, have multiple categories of projects, subprojects and priorities, label tasks, and visualize priorities. andnbsp; For this type of user, Todoist is more or less the best todo list service on the market.

    Pros :

    • Todoist has a slick interface and an extensive feature set that has most of the functionality one would need. One major advantage is its especially generous free tier.
    • The free tier allows task priorities, subtasks, and sublevels, as well as recurring due dates and a generous number of active projects and people per project. andnbsp;
    • This is a very good set of features for an individual user.
    • The premium tier, which includes features such as labels, reminders, location-based notifications, adding tasks via email, task comments, file uploads and productivity tracking, isn't expensive and is probably worth the less than $30 per user per year to help increase productivity.

    Cons :

    • I am not a user of Todoist for the following reasons: (1) it does not have auto scheduling services for tasks. Toodledo is the service that can automatically select a task to perform in a specific block of time. andnbsp;
    • Without this type of service, I don't mind using a simpler task list that would enable me to see all my tasks in one place.
    • I used Wunderlist, which I found quite useful. andnbsp; With my need to keep fewer tabs open I have migrated to a combination of Google Tasks, which is very simple and can be visualized in Gmail; Evernote, and a simple list on Google Docs.

This is perfect for someone who always likes to be on top of everything. This is a need to do application that will work on any system or software meaning no matter the certain software or operating system on your computer it should work. I have many different devices that all have different web browsers, and this app works on each one that I have tried it on.

I have compared it to another app that I use called Wunderlist. I like to organize lists from what I need to do overall, then need to do now then to keep a list of just ongoing things. Both of these apps pretty much do the same thing it really just depends on what UI, presentation and list organization style you like.

Just like many other apps, there is a price to pay if you really want the neat features! It costs a little over 2 bucks a month or 29/a year. Wunderlist is about 50 bucks a year of 5 per month for comparison.

    Pros :

    • Can use it on any system or software.
    • Easy to read and use UI.
    • Very easy to organize.
    • Can send/share documents.
    • Can use it even if you don't have WIFI.
    • What I like the most about the app is if you really dedicate yourself to use it every day you really will have a more organized life.
    • I keep it on readily available and the app in clear eye so I know that I constantly need to keep checking it. It is very "Rewarding" when you accomplish something and that list gets smaller! There are a lot of players in this space out there, but this is a very well prepared app that will keep everything in your life organized!

    Cons :

    • I wish more was offered in the free version. You will almost get bored with the options but for a few bucks a month that could change! Feels like everything no-a-ways costs money or is on a monthly subscription.
    • I guess you could just use the notes/free reminders app that your smartphone already comes with.

There are a wealth of task management applications out there on the internet. Each of these apps basically allows the user to dump their daily tasks in a trusted system where they can return at a later date to manage the tasks. Potentially, they all can get the job done, but there aren't many that can do it with the ease and intuitiveness as Todoist. Todoist was built on the premise of entering and completing tasks with nominal effort. The interface is minimal, yet flexible and powerful enough to support nearly any productivity method you throw at it.They have provided of task entry points to support an "on the go" person like myself. You can enter tasks via voice entries, Siri, Google Voice, email to Todoist or you can simply create Todoist tasks right in the application (of course). Completing a task is as simple as a swipe in the mobile apps or a check in the web application. Todoist also allows task filtering, prioritization, and sorting. You can also add attachments to tasks. If you use Dropbox or Google Drive, you can link files to a Todoist task. Todoist uses a natural language time and date entry. Users set as many reminders as they wish for a particular task. The reminders are either time date or location based. (That's right! You can make a shopping list, and the application will remind you to pick up items.) Todoist supports a number of platforms from windows to mac; from Android to IOS. There are also extensions for Outlook, Chrome, and Gmail. Todoist even supports Android Wear and Apple watch. Todoist is a freemium application. You receive a number of features with the free version, but the true power of Todoist is found in the premium version. The price? Whopping $29/year. It is well worth it.

    Pros :

    • Clean minimal and modern interface.
    • Flexible model.
    • Enter tasks from nearly any platform.
    • Focuses on completing tasks rather than managing them.
    • New features released on a regular basis.
    • Incredibly large support community (technical and forum).

    Cons :

    • Initially interface may take some getting used to.
    • No auto next item for projects.
    • No calendar view within the application.

I have used a number of to-do list and organiser applications such as Todoist, Todo, Wunderlist, Next Thing and Google Tasks, and find that Todoist is definitely a very good contender within this category of apps. One of the biggest advantages of Todoist is that it is available on a large variety of platforms, including iOS, Android, Windows, OS X as well as online. This differs from some competing applications, and is a very valid reason to use Todoist, as it means that users are able to view, add and edit tasks on any device that they may be using. Besides this, whenever changes are made to tasks, the user's Todoist account is used to synchronise the tasks on all devices, similar to how iCloud works with iOS devices for contacts, documents, photos, etc. Another advantage of Todoist is that it is possible to collaborate on tasks, similar to how Asana works, and the respective tasks can be edited by other users who have access. Furthermore, it is also possible to view tasks as being part of a project, which in turn can have its own sub-projects and sub-tasks. Since Todoist has such a large amount of features, it, unfortunately, falls into a state whereby it can be classified as a jack of all trades, but master of none. It is actually a very decent software package. However, Todoist is too complex to be used as a pure to-do list app. There are too many steps involved in adding a task, where other to-do list applications master the process of adding a new task as quickly and efficiently as possible. From the other end of the spectrum, the large amount of project-related features might make Todoist more of a project management tool, however, other software products such as Asana do a much better job of project management, and are specialised to deal with that aspect of tasks, rather than simply to-do lists.

    Pros :

    • Todoist is available on a large variety of platforms, including iOS, Android, Windows, OS X as well as online.
    • Cloud synchronisation means that all devices would have up-to-date tasks.
    • Collaborative editing and adding of tasks.
    • Project-view which means that tasks can be bound to projects and sub-projects.

    Cons :

    • There are too many steps involved in adding a new task.
    • Todoist is too complex to be used as a pure to-do list app.
    • Todoist is not advanced enough to compete with Asana as a collaborative project management tool.

All of these time management apps help to reach the same - to become more organized. There are a lot of different approaches. Todoist is great because it combines the most popular to do doctrines. You may use some features, you may not use the other, but the advanced options are here in case you need it. In Todoist, you can group your tasks by categories, organize them by importance, split into subtasks, to set the date until which they should be performed. In the premium version, there are even more features. For example, files can be attached to the tasks (using Dropbox and Google Drive), the tasks may be organized with tags. You can also add comments and set reminder, save project templates and add tasks via email. With such broad functionality, Todoist can be used in all spheres of life. For example, you can put in the list the movies that are worth seeing; the books you want to read; the goals you are dreaming to achieve. Todoist synchronizes all the tasks with the server. No matter where you added the task (in the web interface, from the desktop software, from the mobile app or from browser extension) the next time you will find it in your account. Moreover, Todoist will always remind you of scheduled tasks via email. Also, there are other types of reminders including the location based ones.

    Pros :

    • Can work online and offline Todoist Karma adds some kind of excitement to the daily routines. If you are productive, you get karma points and then get the new title (e.g. Master, Guru, etc.) The Android client is feature rich allows tasks sharing and collaborating on them.

    Cons :

    • Poor functionality for free users Date method that is used in the app is rather specific. It would possibly take some time to get used to it. Import/export is not user-friendly.

Similar apps: Wunderlist, Producteev, Lumen Trails Todoist is a minimalistic app that allows you to make lists of tasks and easily bundle them into groups of tasks. Projects can also be nestled under other projects, which makes for great organization. The Karma system gives you points every time you complete a task (tasks that are shared, due dated, or complete on time score higher). When you level-up in Karma, you're given the option to post your level on social media. By gamifying task management, Todoist has figured out a strangely helpful way to motivate its users to not only complete their tasks, but to log more of them into the app. Bottom Line: Although I wouldn't recommend this app be used for entire companies (is simply not designed for that), it's EXTREMELY useful for personal task management.

    Pros :

    • Best gesture control of any TMS available: Swipe right for done, swipe left for scheduling, tap to open emails menu below task to edit, comment, set reminders, etc.
    • Offline Use This is key for the traveler. Any TMS that doesn't allow for offline use should be deleted. This app is not one of them. In other words, all created content is local and synced when connected. This shouldn't even be a "pro", as you'd think most competitors would do this... not the case. -Likable Regardless of what other TMS app you're used to, 3 days in this app will make it clear to any user that it sets the standard for mobile task management; you just simply find yourself ACTUALLY using it .
    • Low Learning Curve If you've used other task management systems, you'll find this one is easy to grasp. That's not to say its functions are limited. Todoist finds an almost zen balance between ease of use and functionality.

    Cons :

    • Con 1: Nestling projects under other projects is available in Todoist, which is great, but it can confuse the daylights out of you if you're not aware of this one quirk, which is: nestling a subproject in a parent project is nothing like placing a subfolder within a main folder (like on a desktop), as you'd expect it to be. No. Instead, the parent project is treated as an independent project, able to have its own tasks and subtasks. Imagine a folder called "A". Within that folder exists "B1" and "B2". With the B folders are files, as you'd expect, but the A folder also has files (completely unrelated to the B1 and B2 projects). When you discover this, you feel how you would if a taxi driver came to pick you up to take you to an airport, but half way there he tells you he wants to run a personal errand at the post office by the highway. Exactly.
    • Con 2: As if that wasn't enough of a pet peeve, sharing a parent project with someone doesn't mean you shared the sub-projects. Like I mentioned above, every project (parent or sub) is an independent project of equal weight. If you would like to share subprojects nestled within a parent project, you have to do so individually. This isn't too bad if you have just a few. But if your parent project was dedicated to an entire department of a company, good luck individually sharing sub-projects to every individual in that department.
    • Con 3: Although Sunrise Calendar integration is available, it only has an on/off option, instead of a list of all your projects so you could choose which ones to show or hide. Wunderlist and Asana provide this in their Sunrise API. It's high time Todoist joined the club.
