Email attachments over 10MB in size are generally frowned upon by email servers. And if your Internet connection is spotty at best, it’s wise to expect that your attached documents or photos will never reach their destination.
A file transfer solution that has been in operation since 2009, WeTransfer lets you securely share large files up to 20GB in size. The app offers two ways to transfer your files: by emailing your recipients or via a download link.
For file transfers not exceeding 2GB in total size, the service is free, without any need to register. To transfer files through email, visit the WeTransfer website. Choose the files you want transferred from your local computer, and key in your recipients’ email addresses. You may share your files with a maximum of 20 people at any given time.
To transfer files to more than 20 recipients or to people whose email addresses you have no knowledge of, click on the Share button, and select the Link option. Add your files and click on the Transfer button. Once your files are successfully uploaded to WeTransfer’s servers, the system automatically generates a download link.
Copy the link and send it to your intended recipients. Anyone with the download link can download the shared files into their local computers without signing up with WeTransfer. WeTransfer keeps your files for a period of up to two weeks.
For 20GB transfers, password protection, a personal URL, customized emails, and the ability to style your download background, WeTransfer Plus costs $10 per month, if paid on a yearly basis.
Dropbox is a document management and cloud storage system that allows you to upload, store, share, and access your photos, videos, music files, documents, and other files anywhere, anytime, as the app instantly syncs your data across all your devices – desktop, smartphone, or tablet.
Dropbox also works as a backup for your important files, so you never again need to worry about your data being lost. If your computer suddenly dies and can no longer be revived, or if you lose your phone during one of your travels, you can relax knowing that all the files you saved in Dropbox are still intact.
When you install the Dropbox desktop app on your computer, a special folder is created. Every document, image, or video saved in the Dropbox folder is automatically uploaded to the Dropbox cloud and synced across all your devices where Dropbox is installed.
Dropbox also has a camera upload functionality that automatically uploads the photos and videos taken using your phone, tablet, or camera. This means that if you have the Dropbox desktop app on your computer, your photos and videos are automatically saved to your computer. No more plugging your phone, camera, or tablet to your computer to manually transfer your sunset photos or team building videos.
Dropbox also allows users to secure their files from unauthorized access through a passcode, which is required every time the app is launched. After attempting and failing to enter the correct passcode 10 times, Dropbox will automatically be signed out from your device.
For added security, particularly in the case of lost or stolen devices, Dropbox’s remote wipe feature, which is only available to Pro and Business subscribers, deletes the Dropbox folder from your phone or tablet as soon as it comes online.
4. Google Drive
Google Drive is Google’s synchronization and file storage service that, like Dropbox, allows users to store files such as spreadsheets, documents, and presentations in the cloud and share them with colleagues. Just drag and drop your files from your computer into Google Drive. Folders can be created to organize your files.
With integrated services like Google Docs, Sheets, and Slides, you can work on your documents, worksheets, and presentations anytime, anywhere even without programs like Microsoft Office Suite installed on your device.
Google Drive is also a real-time collaborative editing platform where shared files and folders can be accessed and simultaneously edited by authorized users. Instead of sharing files or documents back and forth via email, with Google Drive, there are two ways to share: (1) by indicating your colleagues’ email addresses, separated by a comma, in the window that appears right after clicking on the Share button, or (2) by generating a shareable link.
You have complete control over the way other collaborators use your file: (1) can edit, (2) can comment, and (3) can view. Users will be required to log in with their Google accounts to edit, view, or comment on the file, and changes are indicated by a cursor next to a user’s name, so you know who changed what.
By default, anyone with a link can view a shared file, even without a Google account. While it’s possible to grant these same users the power to also edit the file, you probably don’t want this access permission given to just about anyone, as the file may fall in the wrong hands and tracking who exactly made the edits is impossible.
